Not at all. Orchesi is designed to be simple and intuitive. Most associations set up their account, invite members and start organizing their first rehearsals within just a few minutes. If you need help, you can contact us at support@orchesi.com

Usually only a few minutes. Create your association, invite a few members and you can immediately start planning rehearsals, concerts and activities.

Yes. Many associations start with the board or a section to explore the platform. You pay per day for the active members only, with no annual contract, so a small start costs very little.

Yes. Orchesi is suitable for both small and large associations. You can easily create groups, such as a main orchestra or youth orchestra, and sections within them, so even associations with 500+ members can work in a clear and structured way. Pricing is based on the number of members, with a price cap of €16.95 per month for larger associations, keeping it affordable for every association.

After three months, you can add payment details and continue using Orchesi. If no payment details are added, the association will be temporarily frozen. Existing information remains visible, but no changes can be made, such as adding new events, sheet music or members.

No. Orchesi has no annual contract and you can cancel any day. You pay per day, only for the members in your association at that time. If a member joins halfway through the month, you only pay for the days they are part of it, not for the whole month.

Yes. Our prices include 21% Dutch VAT, so the amount you see is the amount you pay. No hidden fees, checkout costs or unexpected charges. Do you have a valid VAT number? Enter it during checkout and, when applicable, we can reverse-charge the VAT.

No. The association pays for the subscription, the app is free for members.

Yes. If you still have a running contract with another tool, such as Konzertmeister, you can use Orchesi for free until that contract ends. That way you can try Orchesi without any risk and without paying twice. Send the invoice from your current tool to support@orchesi.com and we'll take care of the rest.

Yes. The first 3 months are free and you don’t need payment details. If you still have a running contract with your current tool, Orchesi stays free until that contract ends. To arrange this, send the invoice from your current tool to support@orchesi.com and we’ll take care of the rest. That way you can test calmly with the board or a section before moving everyone over.

Usually you won’t need it: Orchesi is designed to be so easy to use that most associations are set up within 10 minutes. Creating your association, importing members and planning your first rehearsals speaks for itself. Stuck on something anyway? Email support@orchesi.com and we’ll help you out. We are also working on a knowledge base with guides for every step.

Start with the board and set up your groups and sections, such as a main orchestra or youth orchestra. Then create the season: recurring rehearsals are planned in one go. Finally, invite all members with the bulk import. That way everything is ready the moment your members sign in for the first time.

With the bulk import in the web app. Upload a CSV or Excel file or paste a list of email addresses; you can download a template. You first see a preview of which addresses are valid, then everyone receives an email invitation in one go. You can invite up to 500 members at a time. You assign roles and groups afterwards.

Yes, once and for free. Members receive an email invitation and use it to create their account. With that one account they can also be a member of other associations.

Yes. You can upload parts as PDF, JPG or PNG today. In Q4 2026 we are adding a feature to import sheet music directly from Google Drive, OneDrive and Dropbox, so you can move your whole library in one go.

Yes, although for now you add instruments one by one in the web app. For each instrument you record the type, serial number, purchase date and status, and assign it to a member. From then on you see at a glance who has which instrument, and you keep track of maintenance and damage.

No, but it helps. Members can use the free Orchesi app for iOS and Android, or sign in in the browser at orchesi.app. Notifications and reminders on your phone need the app. The web version is especially convenient for board members when handling administrative tasks.

Yes. With calendar sync in the app, rehearsals, concerts and meetings appear automatically in your own calendar, such as Google Calendar, Apple Calendar or Outlook. New and changed events are added by themselves.

Yes. With one free account you can be part of several associations, and switch between them in the app.

You receive an invitation by email, or you enter the invite code your association gives you in the app. After that you’ll see your association in the app.

You only see the events you’re invited to. You’re probably not in the right group yet. Ask your association’s admin to add you.

Your association always remains the owner of its data. On request we send you an export of your data, and it is never sold to third parties. All data is securely stored within the European Union. Users can delete their account at any time, after which their account and related data will be removed.
